- Who can Disable or Enable a User: Account Owners or users with Custom Roles that include Disabling or Enabling role permission

If you don't have access:
- You won’t see the Settings > Users tab
- The user list will appear in view-only mode without editing options
- Contact your Account Owner or Administrator for access

When is disabling a user helpful?

A staff member leaves your organisation.
-
You want to temporarily suspend access (e.g. seasonal staff, contractors).

You need to restrict access without permanently deleting their profile.
You can re-enable the user at any time without losing their history or data.
📌 Tip: Disabling is often a safer option than deleting, as it preserves the user’s history for reporting and auditing purposes.
How to disable a user
A list of all users will be displayed. Locate the user you wish to disable (Clicking the magnifying glass allows you to perform a search) and select Disable.

Go to Account Settings → Users.

Find the user you want to disable.

Click three dots (next to Assign roles button) → Disable
Once disabled, the user will no longer be able to log in.
How to Enable a user
To re-enable the user account, repeat the process and select Enable.
- Repeat the same steps above (Steps 1 & 2)
- Click three dots (next to Assign roles button), select Enable
This restores their access with the same role and permissions they had previously.
💡 Re-enabling restores all previous permissions and access levels.
Best Practice Tips:

Disable vs Delete: Disable if you want to preserve reporting history and re-enable access later. Delete only when you’re certain the user will never return.

Audit regularly: Review your user list periodically to ensure only active staff retain access.

Plan for handovers: Disable access promptly when a team member leaves to keep your account secure.

Temporary staff: For seasonal or contract staff, disable rather than delete so you can re-enable quickly next time.
